The information we collect
When you use the booking or contact form, you choose what to share with us. Depending on the form, that may include:
- Your name, email address and telephone number.
- Your date of birth, the city and country you live in, and the details of your GP and next of kin.
- Your answers to two short clinical questions, whether this is your first appointment and your history of nasal surgery, and anything you write in the message field.
Information about your health
Some of what you tell us, because it concerns your nose, your previous surgery and the treatment you are considering, is information about your health. Data protection law treats this as a special category of personal data and gives it extra protection. We collect it only so that the practice can respond to your enquiry and prepare for your consultation, and we hold it in confidence.
Why we use your information and our lawful basis
We use the information you give us to reply to your enquiry, to arrange and prepare for a consultation, and to keep in touch with you about it. We do not use it for marketing without your consent.
Our lawful basis for handling the ordinary contact details is that it is necessary to take steps at your request before any agreement is entered into, and our legitimate interest in responding to people who contact the practice. Where the information concerns your health, we rely additionally on the basis that it is necessary for the provision of healthcare and medical treatment, and on your explicit consent where that applies.
Who we share it with
We do not sell your information, and we share it only where it is necessary to run the practice or where the law requires it. That can include:
- Our email provider, Brevo, which delivers the messages generated by the website forms.
- Our website host, Vercel, which serves the site and processes limited technical data.
- The hospital or clinic where your consultation or treatment takes place, where this is needed to arrange your care.
- Professional, regulatory or legal bodies, where we are required by law to disclose information.
Cookies and analytics
We use a small amount of analytics to understand how the site is used and to keep it working well. This is privacy-conscious by design and is not used to identify you personally or to build an advertising profile. We do not use third-party advertising cookies.
How long we keep it
Where an enquiry does not lead to treatment, we keep your information only for as long as we reasonably need it to deal with your enquiry and any follow-up, and then delete it. Where you go on to become a patient, your clinical records are retained for the period required by professional and legal obligations, which for an adult is normally at least eight years.
Keeping your information secure
We take appropriate technical and organisational measures to protect your information against loss, misuse and unauthorised access, and we require the providers who handle it on our behalf to do the same.
Where your information is held
Some of the providers we use may process your information outside the United Kingdom. Where that happens, we take steps to ensure it is protected by safeguards recognised under UK data protection law, such as an adequacy decision or standard contractual clauses.
Your rights
Under data protection law you have rights over your personal information. These include the right to ask for a copy of it, to have it corrected or deleted, to restrict or object to how we use it, to ask for it to be transferred, and to withdraw any consent you have given. If you are not satisfied with how we have handled your information, you have the right to complain to the Information Commissioner’s Office at ico.org.uk. We would, however, welcome the chance to put things right first.
